The American Association of Naturopathic Physicians is looking for a passionate part-time Professional Development & Events Coordinator. The AANP represents the profession of over 8,000 licensable naturopathic doctors and medical students of accredited naturopathic medical schools.
We are seeking an enthusiastic, customer-service-driven professional eager to coordinate adult learning, continuing education, and event execution. As AANP brings its event and hotel management fully in-house, this role offers an ideal growth opportunity for someone ready to take ownership of day-to-day operations with dedicated mentorship from senior staff. You should be a self-directed team player who thrives in a collaborative, hands-on environment with experience coordinating multiple projects simultaneously while balancing competing priorities and meeting established deadlines.
This is a remote position for a small-staff association operating under a family-friendly, distributed workforce model (preference for New England-based candidates). A deep passion for natural health and naturopathic medicine is essential.

Job Title: Professional Development & Events Coordinator
Reports to: Executive Director, with day-to-day work conducted under the close guidance of the Development and Membership Director and other staff as directed.
Job Summary: This part-time position (0.50–0.75 FTE) has primary responsibility for coordinating content for the AANP’s continuing education activities (including the Annual Convention and webinars); overseeing the guidelines for, review, and processing of applications for CE accreditation; coordinating all event logistics and site execution for the Annual Convention; and supporting strategies to deliver on-demand educational content. Responsibilities require familiarity with adult learning, continuing medical education goals, processes, event site selection, and event execution, alongside thorough knowledge of association activities, agenda, and events. Position requires an individual who is highly skilled at professionally representing the association to all internal and external customers.
The Coordinator will assist in delivering a professional development and continuing education program that includes live and recorded webinars, an online CE store, complete convention logistics for 400-600 attendees, and collaborating with other organizations on interprofessional educational opportunities.
Key Responsibilities
A. Professional Development and Education Program
- Coordinate the education portion of AANP’s annual convention (this includes working with volunteers, assisting with creating and selecting educational sessions, securing, coordinating, and training speakers, and working with staff and the Convention Committee on creating the overall conference schedule).
- Assist with development and coordinates professional development webinar series that supports physicians in areas of medical education, marketing, coding, contracting, and the general business of running a practice.
- Coordinates production of bi-monthly continuing education webinars (Zoom), including recruiting and communicating with speakers, corporate partners, and webinar host/producer (with support of other AANP staff).
- Consults with physician volunteers to identify learning gaps and opportunities to support CE and professional development content that is unique, dynamic, and positions the AANP as a leader in the field.
- Coordinates and maintains an online CE store which houses all of AANP’s recorded CE content and serves as both a member benefit and revenue source for the association (with support of other AANP staff).
- Collaborates with the Marketing & Communications team to develop and execute marketing timelines, promotional campaigns, event communications, social media content, and attendee communications supporting educational programs
- Serves as primary staff liaison to the Naturopathic Medical Student Association (NMSA), which co-locates its conference with the AANP’s, to coordinate conference planning, schedule synchronization, and other logistics.
- Stays attuned to the "pulse" of the industry to ensure AANP's educational programs reflect current trends.
B. Convention Logistics & Site Operations
- Coordinates complete event site selection processes, contract reviews, venue relations, and vendor engagement as needed (i.e., DJs, shipping contractors, etc).
- Serves as primary staff liaison to the Convention Committee, which decides on convention theme, reviews speaker abstracts, and selects speakers.
- Coordinate the full speaker management life cycle including abstract solicitation and review, scheduling, presentation collection, speaker communications, and post-event follow-up.
- Serves as primary on-site event coordinator for all convention logistics of the AANP’s Annual Convention, including attendee registration, managing on-site registration desk and event volunteers, planning menus, food and beverage, and acting as primary liaison to hotel managers.
- Arrange hotel accommodations for staffing onsite.
- Supports and coordinates the buildout and day-of management of a virtual conference platform as needed for convention, including post-convention session recording management.
- Coordinates and reviews Banquet Event Orders (BEOs), room blocks, food and beverage, floor plans, and facility logistics.
- Coordinates the preparation of event materials such as participant name badges, information packets, exhibitor materials, event attendee communication, event evaluation surveys, etc.
- Ensures rooms are set up appropriately with layout, seating, and A/V equipment.
- Contributes to pre- and post-event attendee communication, including conducting evaluations.
- Provides input into the development of the annual convention budget and analysis.
- Provides upbeat and high-quality customer service to conference attendees and exhibitors throughout the registration process and on-site.
C. Continuing Education Approval & Support
- Oversees review and processing of applications from external organizations seeking CE approval for learning activities.
- Communicates with CE approval applicants to advise on quality standards, resolve conflicts of interest with speakers, and maintain adherence with CE approval guidelines.
- Supports a pool of physician volunteers who assist and advise in review of applications to ensure high quality standards.
- Maintains accurate and regularly updated database of regulatory requirements for continuing education of all naturopathic regulatory boards.
- Identifies and applies for all necessary naturopathic physician CE and other professional CE that is deemed necessary for AANP events.
- Issues CE Certificates, assists members/attendees with CE Certificate access, and maintains accurate records of participation (with assistance from work-study staff).
- Reviews processes, application forms, guidelines, and policies to improve efficiencies and reflect medical professional best practices.
- Seeks opportunities to collaborate with other professional organizations desiring CE approval for naturopathic physicians.
- Reviews and updates CE Handbook and Application on a biennial basis.
D. Systems & Administrative Coordination
- Sets up webinars and registrations in YourMembership (YM), and posts recorded webinars to past webinar archives and the online store.
- Assists members, attendees, and exhibitors with registration and payment processing.
- Assists members with general webinar registration and access inquiries.
E. Other Duties as Assigned
- General website content updates.
- Support the coordination of other major Association events, such as the annual DC FLI lobby day activity and hotel logistics.
- Respond to consumer and physician phone and email inquiries.
- As with all positions on a small team, contributes to team projects, administrative functions, office coverage and other duties as determined necessary by leadership.
Requirements
Qualifications, Experience, and Skills Required
- College degree (or equivalent experience) plus 2+ years of experience in medical continuing education programs, professional development, adult learning and meeting/event planning.
- Certified Meeting Professional (CMP) designation, or interested in attaining the CMP credential.
- Proficiency with working with technology, primarily websites and databases. Some HTML experience or willingness to learn. People who are not comfortable with technology should not apply.
- Familiarity with AMS or LMS systems in general. Proficiency with YourMembership is a plus.
- Exceptional interpersonal skills with the ability to exercise considerable tact, courtesy, and discretion in frequent contact with corporate partners, physicians, speakers, venue representatives, members, and fellow staff.
- Excellent verbal, written, and presentation skills with ability to present information clearly, succinctly, and persuasively.
- Confident with Microsoft Office and Google Suite.
- Superior organizational skills with the ability to prioritize and successfully accomplish multiple projects simultaneously.
- Demonstrated ability to respond calmly and effectively in challenging situations, especially in high-paced on-site events.
- Ability to work independently with a high level of initiative, self-motivation, commitment to getting the job done, and familiarity with fulfilling project-based performance objectives.
- Demonstrated passion for healthcare advocacy generally, and specifically natural medicine.
- Flexible schedule to accommodate some late evenings and weekends, with an understanding that workload and hours will inherently increase in the two months prior to the Annual Convention.
Employee Benefits
Staff work remotely with ample flexibility. This is a part-time position expected to be a 0.50–0.75 FTE role (~20–30 hours/week) at $25/hour. As it is not a full-time position, there are no health or retirement benefits provided. Paid time off may be negotiated.
