Position Summary
We are seeking a versatile, hands-on Finance/Operations Director to lead all financial operations for TransPro Consulting, LLC based in Spring Hill, Florida. This role is ideal for someone who thrives in a small company environment, owning the full finance function. From daily transactions to strategic analysis, you will be playing a critical role in guiding the business forward.
You will manage core accounting processes, ensure financial accuracy, and deliver insights that help leadership make confident decisions about profitability, growth, and long-term sustainability.

This is a full-time, fully remote position (U.S. based candidates only)
Key Responsibilities
Financial Operations & Accounting
- Complete all day-to-day accounting functions, including expense coding, receipt management, accounts payables and receivables.
- Oversee payroll, invoicing, and staff reimbursements for a team of 15+ professionals, with an individual client base of 25 – 30 clients today.
- Complete timely month-end and year-end close out processes, including monthly journal entries and account reconciliations.
- Manage vendor relationships and ensure accurate, on-time payments.
- Oversee cash management, including transfers between operating accounts, Fidelity accounts, and Lines of Credit.
Financial Planning & Analysis
- Build and maintain 6-month rolling cash flow projections, revenue forecasts, and scenario models.
- Prepare and provide financial reports, projections and insights to leadership monthly.
- Report financials at quarterly company meetings and Advisory Board meetings.
- Provide monthly expense reports by customer to project profitability analysis by project and to inform pricing and resource allocation.
Strategic Finance & Business Insights
- Partner with the CEO and leadership team to support budgeting, long-range planning, and operational decision making.
- Identify financial risks, opportunities, and recommend actions to strengthen financial health.
- Prepare financial reports and insights for quarterly Advisory Board meetings.
- Support strategic initiatives such as new service lines, hiring plans, and investment decisions.
- Prepare annual budget consistent with company goals.
Operational Compliance & Tax Filings
- Supervise end-to-end payroll via Paychex, manage compliance updates, Form 5500/8955 filings, and health insurance premium reviews.
- Manage annual state corporate filings, SAM.gov registrations, and specialized agency certifications such as NCDOT prequalification and FL DOS reporting.
- Coordinate with the firms CPA to project quarterly estimated taxes and process quarterly tax payments.
- Act as primary liaison for CPA, providing all necessary documentation for annual tax filings and tangible tax return.
- Prepare monthly invoices for expenses and labor between affiliated entities and reconcile inter-company funds.
- Monitor contract renewals to ensure license accuracy (Salesforce, Paychex, Monday.com) and manage professional insurance policies.
Project Onboarding & Subcontractor Management
- Review new contracts and budgets, specifically focusing on payment and invoicing terms.
- Manage subcontractor onboarding including subcontractor agreements, W-9’s and Certificates of Insurance.
- Initialize new projects in QuickBooks and internal tracking spreadsheets to ensure seamless invoicing and projection accuracy.
Systems & Processes
- Maintain and improve financial systems, tools, and workflows to increase efficiency and accuracy.
- Ensure compliance with GAAP, internal controls, and company policies.
- Implement best practices for financial management in a small but scaling organization.
- Experience in developing and supporting the documentation of a FAR overhead rate as governed by FAR Part 31.
Requirements
Qualifications
- Bachelor’s degree in finance, accounting or related field.
- 7+ years of progressive experience in finance or accounting, ideally in a consulting, professional services, or small business environment.
- Strong background and proven history with financial ethics, including fiduciary duty, transparency, and conflict of interest management.
- Familiarity with the financial reporting requirements of the states that TransPro operates, including, Florida.
- Demonstrated ability to manage both transactional accounting and strategic financial analysis.
- Strong proficiency with accounting software (e.g., QuickBooks) and advanced Excel/analytics skills.
- Excellent communications skills with the ability to translate financial information for nonfinancial audiences.
- Comfortable operating independently, prioritizing across multiple responsibilities.
- Comfortable working in a remote business environment.
