- Community Manager
Description
The Community Association Community Manager serves as the primary liaison between the homeowners’ association (HOA) Board of Directors, residents, and vendors. This position is responsible for overseeing the daily operations, financial management, maintenance, and community governance of the association. The Community Manager ensures that the community operates smoothly, remains well-maintained, and upholds the standards and policies set by the Board of Directors and governing documents.
Requirements
Board & Governance Support
- Work closely with the Board of Directors to implement policies, decisions, and community goals.
- Prepare and distribute meeting agendas, management reports, and financial statements for board meetings.
- Attend board and annual meetings, providing professional advice and operational updates.
- Maintain and enforce compliance with association governing documents, bylaws, and rules & regulations.
Operations & Administration
- Oversee the day-to-day operations of the community including amenities, common areas, and contracted services.
- Manage vendor relationships, solicit bids, and oversee performance of contractors and service providers.
- Coordinate community projects, including landscaping, maintenance, and capital improvements.
- Ensure all association records are organized, current, and accessible.
Resident Relations
- Serve as the main point of contact for homeowners, responding to questions, concerns, and requests in a professional and timely manner.
- Facilitate clear communication between the Board and residents through newsletters, notices, and community updates.
- Manage rule enforcement and violation processes with consistency and fairness.
- Promote a positive and cooperative community atmosphere.
Financial Management
- Assist in developing and managing the association’s annual operating and reserve budgets.
- Monitor expenditures and ensure fiscal responsibility in all association activities.
- Oversee assessment collections, delinquencies, and vendor payments.
- Prepare monthly financial summaries and present them to the Board.
Maintenance & Inspections
- Conduct regular inspections of common areas to ensure maintenance standards are met.
- Identify and address repair needs promptly, coordinating with vendors as necessary.
- Oversee preventive maintenance programs and ensure capital reserve planning is up to date.
- Respond to emergencies and coordinate appropriate resolution actions.
Skills:
Communications: Interpersonal, conflict resolution, written and verbal.
Organizational: Time management, self-starter, task prioritization, record keeping.
Financial: Basic accounting, budgeting and planning
Legal Knowledge: Understanding laws and regulations, city regulations and community rules.
Technology Proficiency: Excel, Word, Powerpoint, Outlook are essential. Handling virtual meetings and some website familiarity is a plus.
Problem Solving and Critical Thinking: quick decision-making and analytical skills
